ASWSU Global Director of Finance Job Description
Term, Commitment, and Compensation
- Term: May 2026 – May 2027 (includes summer onboarding + spring transition)
- Average Weekly Hours: 10-15 hours/week
- Yearly Stipend: $8,500 (distributed in monthly installments over 12.5 months)
- Enrollment Requirement: 6 credits Fall + 6 credits Spring (summer enrollment not required)
Role, Purpose, and Position Overview
The ASWSUG Director of Finance plays a central role in ensuring that student resources are used responsibly, transparently, and in alignment with the priorities of Global Campus students. This position supports the Executive Board by maintaining financial clarity, strengthening internal systems, and helping guide informed budget decisions. Serving as both a strategic partner and operational steward, the Director of Finance collaborates with student leaders and university partners to monitor spending, uphold S&A Fee regulations, and maintain accurate financial records. Through this work, the role contributes directly to the sustainability, accountability, and long-term effectiveness of ASWSUG initiatives.

Role Expectations and Responsibilities
Financial Stewardship & Compliance
- Serve as the financial steward of ASWSUG funds, ensuring responsible and transparent use of student resources.
- Monitor approved budgets and available balances to support informed Executive Board decision-making.
- Ensure all financial activity aligns with university policy, state regulations, and S&A Fee requirements.
- Provide financial guidance to the Executive Board regarding budget feasibility and fiscal impact.
- Collaborate with the President in preparation and review of the annual S&A Fee proposal.
Budget Oversight & Reporting
- Provide regular financial updates to the Executive Board and President, ensuring clear understanding of current balances, pending expenditures, and projected budget impact.
- Maintain financial visibility by tracking approved and pending spending against allocated budgets.
- Demonstrate financial literacy and readiness to explain budget status, constraints, and available funding when proposals are considered.
Financial Workflow & Documentation Management
- Coordinate and advance reimbursement and purchase requests through established ASWSUG financial procedures and appropriate administrative channels.
- Verify that financial requests include required approvals and documentation before submission.
- Maintain organized financial records, including proposals, approvals, receipts, and tracking sheets, to ensure transparency and continuity across leadership terms.
- Monitor pending and completed transactions to maintain accurate internal budget tracking, particularly when official budget-to-actual reports are delayed.
- Support the ongoing refinement and documentation of standardized financial workflows in coordination with the Executive Board and advisors.
Collaboration & Team Communication
- Serve as the Executive Board’s point of contact for budget-related questions and financial clarification.
- Collaborate consistently with the President, Vice President, and Executive Board Directors to support informed financial decision-making.
- Monitor and respond to ASWSUG email, Microsoft Teams, and related communication platforms in a timely and professional manner.
- Maintain clear and consistent communication regarding financial processes, approvals, and updates.
- Work with the Director of Assessment when student feedback or voucher-related processes have financial implications.
Engagement & Organizational Participation
- Attend and support ASWSUG events, initiatives, and major programming efforts as an active member of the Executive Board.
- Contribute to shared Executive Board projects and organizational priorities beyond individual role responsibilities when needed.
- Represent ASWSUG in a professional and student-centered manner during events and collaborative activities.
Meeting Expectations and Time Commitment
Core Meetings:
- Weekly Executive Board Meetings
- Monthly 2:1’s with President and Vice President
- Monthly Student Affairs Senate meetings
- Other committee or role specific meetings as designated
Additional Leadership Commitments (role‑dependent):
- Participation in planning meetings with the President and advisors during S&A Fee proposal development and review cycles
- Assist in facilitation of Week of Welcome Finance Events in collaboration with Global Connections
- Cross-department meetings when financial review or approval is required
- Attend and help facilitate ASWSUG events (i.e., Townhalls and Listening Sessions)
- Participation in ASWSUG initiatives, including leading Cougs-Get LIT meetings as designated by the Vice President.
- Hiring Committee participation (as applicable)
Workload Reality:
- Average commitment of 18 hours/week
- Significant time is spent tracking financial requests, coordinating approvals, and responding to financial inquiries
- Email communication is a core component of this role and requires consistent monitoring and timely response to a high volume of student reimbursement questions and internal financial processes.
- Workload increases during S&A proposal preparation, major purchasing periods, and year-end budget reconciliation
Travel and Professional Development
- Travel is not required for the Director of Finance position.
- Optional, fully funded travel opportunities within Washington State may be available throughout the term, depending on role relevance and organizational needs.
- Optional travel may include participation (in-person) ASWSUG events, governance gatherings, or leadership development opportunities.

Qualifications and Eligibility
Eligibility Requirements
- Currently enrolled S&A fee‑paying Global Campus student
- Minimum GPA of 2.5 and good academic/disciplinary standing
- Enrolled in at least six (6) credits during Fall and Spring
- Summer enrollment not required; onboarding begins during summer
- Able to commit to the full May–May leadership term
- Able to work effectively in a fully virtual environment
Skills & Attributes
- Ability to collaborate effectively within a team and across administrative offices

- Problem-solving mindset when navigating financial or procedural barriers

Preferred Qualifications
- Prior experience with budgeting, financial tracking, or purchase requests.
- Comfort using spreadsheet formulas or financial tracking templates.
- Experience serving in a student leadership or organizational role involving fiscal responsibility.
