Term, Commitment, and Compensation
- Term: May 2026 – May 2027 (includes summer onboarding + spring transition)
- Average Weekly Hours: 10-15 hours/week
- Yearly Stipend: $8,500
- Enrollment Requirement: 6 credits Fall + 6 credits Spring (summer enrollment not required)
Role, Purpose, and Position Overview
The Director of Communications & Compliance leads the development and execution of ASWSUG’s internal communications. This role is responsible for crafting clear, engaging, and visually organized messaging across internal student engagement platforms, web pages, and official email submissions. The Director translates Executive Board initiatives into student-facing communication, shapes the voice of ASWSUG across internal channels, and ensures that information is both accessible and professionally presented. In addition, this role serves as the primary lead for Open Public Meetings Act (OPMA) compliance, maintaining agendas, minutes, and official records to support transparency and institutional integrity.

Role Expectations and Responsibilities
Communications Leadership & Content Creation
- Serve as the primary author of ASWSUG’s written communications, transforming organizational ideas and updates into clear, student-facing messaging.
- Develop, produce and publish polished communications across official platforms, including email campaigns, website content, and event descriptions/materials.
- Maintain a consistent organizational voice across ASWSUG’s internal communication platforms (e.g., Involve/Presence, WSU website pages, MarCom email submissions).
- Develop and maintain a comprehensive communication plan for ASWSUG initiatives and events, independently managing timelines, tracking key deadlines, and ensuring messaging is delivered consistently and reliably across platforms.
- Collaborate with the Director of Promotions to ensure continuity of messaging across communication and social media platforms.
OPMA Compliance & Governance Records
- Serve as ASWSUG’s primary lead for Open Public Meetings Act (OPMA) compliance.
- Draft, format, and publish weekly Executive Board agendas and detailed meeting minutes in accordance with OPMA requirements.
- Issue weekly agenda calls to collect items from Executive Board members and compile them into the established agenda format.
- Maintain organized and publicly accessible records of agendas, minutes, and required governance documentation.
Platform Ownership & Publishing Responsibilities
- Serve as the administrator for ASWSUG’s Involve/Presence page, including creating events, managing engagement tools, tracking attendance, and maintaining accurate organizational records.
- Own and maintain the ASWSUG website, including updating content, ensuring accuracy of information, and coordinating structural or design revisions when needed.
- Develop and manage official ASWSUG forms (e.g., surveys, sign-ups, attendance tracking, feedback forms), ensuring data is organized and accessible for Executive Board use.
- Draft and execute event-specific communication campaigns (e.g., Town Halls, Listening Sessions), including promotional emails and informational follow-ups.
- Manage live Executive Board meeting logistics, including tracking attendance and moderating the virtual meeting chat when applicable.
- Maintain organized digital archives of agendas, minutes, forms, and published communications to ensure compliance and year-to-year continuity.
Collaboration & Team Communication
- Independently and proactively initiate coordination with Executive Board Directors to gather event details, initiative updates, and required information needed to execute timely and accurate communications.
- Monitor and respond to ASWSUG email, Microsoft Teams, and other designated communication platforms in a timely and professional manner.
- Maintain consistent communication with the President, Vice President, and Executive Board Directors regarding communication timelines and publication needs.
- Participate actively in Executive Board meetings and collaborative planning discussions.
- Support cross-functional coordination between communications, promotions, outreach, and assessment efforts.
Engagement & Organizational Participation
- Attend and support ASWSUG events, initiatives, and major programming efforts as an active member of the Executive Board.
- Contribute to shared Executive Board projects and organizational priorities beyond individual role responsibilities when needed.
- Represent ASWSUG in a professional and student-centered manner during events and collaborative activities.
Meeting Expectations and Time Commitment
Core Meetings:
- Weekly Executive Board Meetings
- Weekly Marketing Team Meetings
- Monthly 2:1’s with President and Vice President
- Monthly Student Affairs Senate meetings
- Other committee or role specific meetings as designated
Additional Leadership Commitments (role‑dependent):
- Event preparation and communication planning meetings as needed
- Cross-director coordination meetings when communication planning requires alignment across roles
- Attend and help facilitate ASWSUG events (i.e., Townhalls and Listening Sessions)
- Participation in ASWSUG initiatives, including leading Cougs-Get LIT meetings as designated by the Vice President.
- Hiring Committee participation (as applicable)
Workload Reality:
- Average commitment of 10–15 hours per week
- Significant time is dedicated to drafting agendas and minutes, managing communication timelines, and maintaining platform accuracy
- Email and Teams communication is a core component of this role and requires consistent monitoring and timely response
- Workload increases during major event cycles, campaign launches, and governance-heavy periods
Travel and Professional Development
- Travel is not required for the Director of Communication & Compliance position.
- Optional, fully funded travel opportunities within Washington State may be available throughout the term, depending on role relevance and organizational needs.
- Optional travel may include participation (in-person) ASWSUG events, governance gatherings, or leadership development opportunities.

Qualifications and Eligibility
Eligibility Requirements
- Currently enrolled S&A fee‑paying Global Campus student
- Minimum GPA of 2.5 and good academic/disciplinary standing
- Enrolled in at least six (6) credits during Fall and Spring
- Summer enrollment not required; onboarding begins during summer
- Able to commit to the full May–May leadership term
- Able to work effectively in a fully virtual environment

Preferred Qualifications
- Experience creating written or digital communications in any organizational, volunteer, academic, or professional setting.
